Important note: This functionality will be available as of FlowFit v.3 (to be released in 2023).

⚙ > Virtual Coordinator > Entities and Events

The following entities (for ex. Project) can trigger automatic actions (for ex. send an email, call a webhook, ) when specific events (for ex. a new project created) occur :

  1. Client invoice (when the client invoice is created, updated, or deleted, its due date is updated, its status is updated).

  2. Client quote (when the client quote is created, updated, or deleted, its status is updated, its ‘'valid until’' date is updated).

  3. Project (when a project is created, updated, or deleted, when documents change or field values are updated, etc.).

  4. Provider invoice (when the provider invoice is created, updated, or deleted, its due date is updated, its status is updated).

  5. Provider purchase order (when the provider P.O. is created, updated, or deleted, its status is updated, its ‘'accept before’' date is updated).

  6. Task (when a task is created, updated, or deleted, assigned or unassigned, or field values are updated, etc.).

  7. Workflow (when a workflow is created, updated, or deleted, or its status is updated).

How to automatically define a project priority based on SLA

WHEN: In the Trigger section (Section 1):
  1. In the Entity field, choose Project.

  2. In the Description field, provide a name for the new virtual coordinator (pro tip: you can also number them by their unique ID if you intend to create at least 5 VC).

  3. In the Event field, choose ‘'SLA date updated’' or any other relevant event.


HOW: In the Filters section (Section 2):

Fill in at least 1 project information field (for ex. the work type) which will be the condition(s) to meet for your automatic actions to be applied (in Section 3):

WHAT: In the Actions section (Section 3):
  1. Chose at least 1 action (for ex., ‘'Set project priority’') which should be performed when the trigger chosen in Section 1 occur, if your project meets the selected filters entered in Section 2.

  2. Select which value to apply (for ex. ‘'Priority 2’').

  3. Click on Save to complete the project creation virtual coordinator creation.

Pro tip:

Before configuring a special email alert with a VC, make sure an email template is not yet designed for this purpose under: ⚙ > Administration > Email Templates.
