How to connect the GroupShare server to FlowFit
⚙ > Connectors > Trados GroupShare > Parameters
⚙ > /FlowFitTMS/#/groupshare-api/groupshare-api-param
The Trados GroupShare main configuration page is divided into five vertical configuration sections:
FlowFit/GroupShare connector
GroupShare Project Server
GroupShare Translation Memory Server
GroupShare Projects
GroupShare Assignment Phases
⚙ > Parameters > Section 1: FlowFit/GroupShare connector
Enabled: This option allows to activate or deactivate the Trados GroupShare connector within your FlowFit-TMS environment. If disabled, all the Trados GroupShare options in the next configuration screens will no longer be available.
Test connection: This button allows to confirm the successful configuration of the FlowFit/GroupShare integration.
FlowFit/GroupShare API URL: This field permits to specify your Trados Studio server API link with the protocol and port use. I.e.: https://yourcompany/FlowFitGroupShareApi
Manual task completion: This field allows users to complete tasks manually in FlowFit instead of allowing the automatic completion triggered by GroupShare.
Project creation timeout (in s): This field allows you to specify the interval (in seconds) after which the GroupShare project creation should timeout in FlowFit, in case of a GroupShare project creation error. GroupShare project creation time is subjective and can range between 1 to 120 minutes (or more), depending on the source files, the translation memory contents, and other GroupShare factors. The recommended default value is 1800 seconds (30 minutes), but this timeout may need to be increased if regularly handling big TMs and/or big and complex source files (PowerPoint, Viso files for ex.) or reduced if only handling plain text files (short and simple text documents, for ex.).
If FlowFit has to time out (abort) the GroupShare project creation, an error message will be displayed in FlowFit. If the same GroupShare project creation is also failing in GroupShare (outside of FlowFit), this will confirm an SDL issue unrelated to FlowFit.
GroupShare auto-sync. (in s): This field allows you to specify the interval in (in seconds) of each synchronization between FlowFit and GroupShare. It will automatically update your project and tasks in FlowFit with the corresponding data from GroupShare.
Location: This field permits to specify the directory and organization where the Trados GroupShare projects will be published and stored.
⚙ > Parameters > Section 2: GroupShare project server
Enabled: This option allows to activate or deactivate the access to the Trados GroupShare project server and its web-based translation editor. If disabled, the users will not be able to access the GroupShare projects nor to translate using the SDL Online Editor.
URL: This field permits to specify the project server address.
Username: This field needs the GroupShare project server admin credentials.
Password: This field needs the GroupShare project server admin credentials.
GroupShare Online Editor URL: This field permits to specify the SDL web-based translation editor address.
⚙ > Parameters > Section 3: GroupShare Translation Memory server
Enabled: This option allows to activate or deactivate the connection between the Trados GroupShare projects and the GroupShare translation memory server. If disabled, the Trados GroupShare projects will not be able to access server-based TMs.
URL: This field permits to specify the translation memory server address.
Username: This field needs the GroupShare translation memory server admin credentials.
Password: This field needs the GroupShare translation memory server admin credentials.
⚙ > Parameters > Section 4: GroupShare projects
Project title naming pattern: This option allows to define the naming convention which will be used to name newly created Trados GroupShare projects, based on the information already existing in the associated FlowFit project.
The following variables are available:
● %PROJECT_TITLE%: Project descriptive title
● %NUM_PROJECT%: Project number
● %PROJECT_CODE%: Project unique identifier (contained in project direct URLs)
● %CLIENT_NAME%: Name of the client
● %CLIENT_CODE%: Code of the client
● %LANG_SOURCE%: Source Language of the project
● %LANG_TARGET%: Target Languages of the project
● %SPACE%: Character Space
● %_UNDERLINE%: Character _
Project description naming pattern: This option allows to define a convention for the information which will need to be included in the newly created Trados GroupShare projects description field, based on the information already existing in the associated FlowFit project. The same variables can be used as in the Project title naming patterns.
Work type: The Trados GroupShare features will only be available to the selected FlowFit work types listed in this field.
Custom field: The GroupShare custom field displayed in the Project Document tab allows to display a personalized text field, such as the possibility to link an existing Trados GroupShare project to an already created FlowFit project.
Use GroupShare web: Switch to the right to grant users a direct access to the GroupShare online platform from FlowFit projects and to the GroupShare online editor from FlowFit tasks.
Use Studio desktop application: Switch to the right to grant users a direct access to the Trados Studio desktop application from a FlowFit project or task.
⚙ > Parameters > Section 5: GroupShare assignment phases
1. How to map GroupShare phases with FlowFit tasks
There are four assignment phases possible with Trados:
1/4 Preparation, 2/4 Translation, 3/4 Review and 4/4 Finalization.
This section allows you to map the FlowFit services with GroupShare assignment phases.
One FlowFit service can only correspond to one Trados phase, these services can be set up in the ⚙ > Administration > Services configuration page.
Preparation: This Trados preparation phase should be mapped with the corresponding FlowFit service.
Translation: This Trados translation phase should be mapped with the corresponding FlowFit service.
Review: This Trados review phase should be mapped with the corresponding FlowFit service.
Finalization: This Trados finalization phase should be mapped with the corresponding FlowFit service.
2. How to synchronize GroupShare phases in a FlowFit workflow
⚙ > /FlowFitTMS/#/workflow
There are four assignment phases possible with Trados:
1/4 Preparation, 2/4 Translation, 3/4 Review and 4/4 Finalization.
At least one of them (Translation, for example) needs to be reflected in a corresponding FlowFit service for each pair of language and added to the Trados workflow (under ⚙ > Administration > Workflow) in order to have tasks available to assign and ensure a good FlowFit/GroupShare synchronization.
A Trados workflow is also necessary to automatize Trados project creations using the FlowFit virtual coordinator (under ⚙ > Administration > Virtual coordinator).
3. How to create a simple unilingual Trados workflow
Here is an example of a simple workflow corresponding to all 4 Trados assignment phases, which can be used for a unilingual translation (here, en-CA to fr-CA), in Trados:
Here is an example of a simple workflow corresponding to all 2 Trados assignment phases, which can be used for a unilingual translation (here, en-CA to fr-CA), in Trados:
