How to make a task proposition to resources

 

FlowFit-TMS allows project managers to propose tasks to several resources. These resources can be suggested according to specific criteria which can be saved under ⚙ > Administration > Task Proposition Template. Here is how to propose one or multiple tasks at once:

 

  1. Open the project and click on the Tasks tab.

  2. Select (tick) the tasks to propose to one or several resources.

  3. Click on the Propose task button located in the action menu (hamburger icon) or in the More menu in the Project Tasks tab, in the toolbar.

 

 

A Task Proposition popup window opens.

 

  1. Select a Task proposition template

  2. Select a Deadline. The Quick time feature allows the user to quickly set a deadline

  3. Check the Accept individually box if you want to allow the provider to accept several tasks individually. Do not tick if you want the provider to accept all or none of the tasks.

  4. If you wish to select more resources on top of the ones suggested by the selected task proposition template, click on Resource. A new window opens. More filters can be selected to help find the best resources available for the selected task.

     

  5. Click on the Email button in the Task proposition popup window if you need to edit the task proposition email, then click on OK.

  6. A grey icon will appear next to all selected resources, and you can click on the Save button on the right-hand side to complete the task proposition process.

 

The system is instantaneously updated and indicates that the task has been proposed. The system will update the task accordingly once the resource accepts or declines the task.

 

For example, the blue user symbol indicates that tasks were proposed to seven resources, and the red user symbol indicates that two out of seven have refused these tasks.

 

Here, the blue symbol indicates that tasks were proposed to only one single resource. According to the red symbol, all resources have refused the proposed tasks, which means in this case the one and only resource has refused the task.

 

 

How to manage tasks propositions

Tasks propositions are accessible at any time in the system from the Project or the Tasks view.

 

How to view the task proposition details of a task

 

To see propositions made for one task in the Projects view, go to the Tasks tab of the project.

  1. Click on the hamburger icon () to open the action menu.

  2. Click on Propositions at the bottom of the list to open the task proposition window.

  3. The task proposition popup window will open, in which you can view resources to whom tasks have been proposed to.

  4. You have the possibility to delete this task proposition and make a new one if needs be.

 

How to view all task propositions made for all of My projects

 

A project manager can access the list of all his Proposed Tasks for all projects he is managing, by clicking on the Proposed status tab in the Tasks view.

Clicking on the blue Proposition details buttons allows you to see details per listed proposition.

 

How to view all task propositions of All projects

A project manager can access the full list of all Proposed Tasks whether these tasks have been proposed by himself or other members of the project management team, by clicking on Propositions in the quick access shortcut located on the right side of the search field in the static top bar.

 

The Propositions page allows the user to:

  1. Filter the list of tasks propositions

  2. Reorganize columns (by ascending or descending order) by clicking on column headers

  3. Export the list of tasks propositions (in Excel or PDF)

  4. View and modify a task proposition by double-clicking on it.

 

A task proposition can be modified in the following way:

  1. Add or delete resources

  2. Change the proposition deadline

  3. Add notes
