Now that you have created or adjusted the ⚙ > Administration > Service Groups, you can create or adjust the services which will correspond to the tasks to assign to users.

Pro tip:
We recommend you to first adjust existing services to your needs and test how they behave within projects and assigned tasks. Then, use the ‘’Copy’’ option if you need to create more services afterwards.
You may want to use the ‘’Excel Export’’ or ‘’Global changes’’ options from the More menu for an overall view of your service list or do batch changes. Do not hesitate to ask for the Consoltec team’s help.

 

To configure services, click on the gear icon in the top-right corner to access ⚙ > Administration > Services.

Click on Modify, Add or Add system service. Then, fill in all necessary fields.

  1. In the Description field, enter a description of the service.

  2. In the Service code field, enter a code that could be used to identify the service.

  3. In the Service group field, select the group in which the service belongs to.

  4. In the Service category, select the category in which the service belongs to, if applicable.

  5. In the Source language field, select the source language linked to the service.

  6. In the Target language field, select the target language linked to the service.

  7. In the Work document naming pattern, specify the format of the work document.
    Enter % to generate a list of options.

  8. In the Attach document field, check the box if you require the file to be attached for the specified service.

  9. In the Validation field, check the box if you want a validation.

  10. In the Require document on completion field, select an option from the drop-down menu.

  11. In the Unit field, specify the unit used for the service. Select an option from the drop-down menu.
    The quantity expectation per hour is also required.
    To add units, click on Gear icon > Administration > Services.

  12. In the Minimal time field, specify the minimum time allowed on the service.

  13. In the Rounded estimated time field, specify how you want to round up a system-generated estimated time. Values are in minutes.

  14. In the Assignment field, you can specify if the service is assigned to a project manager or to a resource. If assigned to a resource, specify the name of the resource in the Assign to field.

  15. In the Work code field, choose the appropriate work code from the drop-down menu if you use timesheets. If you are not using timesheets, there is no need to use this field.



How to set up a Requester/Applicant/Contact/Resource Validation Service

A validation service (check box #1) can be set up and included at various stages of a project workflow, to allow (drop-down menu #3) either the Requester, or the Contact (on the client’s side), or the Applicant, or an Internal or External Resource to first validate documents prior to moving on to the workflow next steps.

This is useful in the case of an English to French translation which also requires to review the source EN prior to the translation.

For example, a Validation task could be assigned to the Requester or his Linguistic Contact (if one was specified in his Contacts) after the Source text review and prior to the translation in French. A question can be asked (#2) and instructions added by default (#4).

How to set up an Auto-Delivery System Service

 

In FlowFit, a regular Delivery service can be set up to allow the project manager to deliver documents to the Client either by:

  • sending an email with the documents to deliver in attachment,

  • sending an automatic notification containing a direct URL leading towards the delivered documents in the Client portal, and the Client will download documents from there (useful for heavy documents).

Alternatively, an Auto-Delivery System Service can be set up in order to deliver documents automatically when the latest task of a workflow is completed (for example, a Revision task completed by a linguist), so that the PM does not need to deliver documents himself.

  1. Auto. TASK delivery (by email)
    WhenAllDocumentsReady=false;DeliveryMode=Email
    This service will automatically deliver the document from the previous Completed task by attachment in an email, as soon as the task is completed (if several workflows in a project, the client may receive several notifications).

  2. Auto. TASK delivery (by URL)
    WhenAllDocumentsReady=false;DeliveryMode=Web
    This service will automatically deliver the document from the previous Completed task by using a direct URL to the Client portal Documents section, as soon as the task is completed (if several workflows in a project, the client may receive several notifications).

  3. Auto. PROJECT delivery (by email)
    WhenAllDocumentsReady=true;DeliveryMode=Email
    This service will automatically deliver all documents from all last Completed tasks of a project workflow by attachment in an email, only once all project workflow last tasks are completed (if several workflows in a project, the client receives one single notification saying that all documents are ready).

  4. Auto. PROJECT delivery (by URL)
    WhenAllDocumentsReady=true;DeliveryMode=Web
    This service will automatically deliver all documents from all last Completed tasks of a project workflow by using a direct URL to the Client portal Documents section, only once all project workflow last tasks are completed (if several workflows in a project, the client receives one single notification saying that all documents are ready).

  5. Wait for all documents to be completed before sending one unique delivery email:
    SendEmailEachDelivery=false

  6. Send a delivery email for each completed document:
    SendEmailEachDelivery=true

  7. Attach the source document to the delivery email
    AttachSource=true

  8. Do not attach the source document to the delivery email
    AttachSource=false

 

How to set up a Machine Translation System Service

Once your Systran or Alexa Translations A.I. connector has been set up, you can create one or several MT services to automatically include the machine pretranslation of your files, in your project workflow.

 

How to make Global Changes to services

It is possible to make global changes to the services list.
Select the services subject to changes, then click on Global Changes from the More menu.

Adjust all necessary fields and click on Save. Changes will be applied to the previously selected services.
